05.16.2025 Release Notes: Workflow (New)

New

AmpliFund has added a new Workflow engine. This initial release allows payment requests to be enrolled and also includes one automation to update record status. Initially, the new Workflow will only be available on Payment Requests, but will later expand to include Amendments, Payment Authorizations, Awards, and Grants. Below is a summary of the updates and changes.

Administration

• In System Administration > Workflow, users can create workflows in the new Workflow engine. For initial release, only payment requests can be added as objects to be enrolled. Within the workflow, users can create actions for the record to route through. Records can also be routed between workflows.
• Within a workflow action, users can select an automation. For initial release, the only automation available is Status Change. This automation will update the record’s status when it moves into the action with the automation.

Payment Requests

• The Payment Request grid on grants, awards, and sub-award now shows the Enroll in Workflow action as well as the Workflow, Workflow Action, and Assignee columns. Users can enroll multiple payment requests in to a workflow and view the current workflow, action, and assignee for the record.
• On the Payment Request Details, assigned users can move the record through the workflow by selecting available actions from the workflow dropdown at the top of the page. All users can view the current workflow and workflow action and assignees.
• Account Admin can now move payment request back to initial action, back one action, or remove from workflow at any time while the record is enrolled through the Workflow Admin tab > Record Management menu.
• Once a payment request has been enrolled in a workflow, the workflow history can be viewed at any time from the Workflow Admin tab on the Payment Request Details. This will still be available if the record has been removed from a workflow.

Fixes

Applications – Budget

• Applicants will no longer receive an error when submitting an application without a budget if the budget is not displayed in the Application.

Awards

• Recipients no longer have access to Award documents if the Award is not activated.
